Automation in a survey is a rule Quanda carries out on its own when a respondent completes the survey, leaves it unfinished or chooses a specific answer: it adds a label to them, sends them an email or sends an alert to you. You set it up on the Automation page with Add trigger. It runs once the survey has been sent out and is Ready to use.

The new survey automation window in Quanda. The Run, when section shows the events The respondent did not complete the questionnaire, The respondent filled in the questionnaire and The respondent chose a specific answer, the Set action section shows Add label, Send email and Send alerts, with the Schedule section below.
The survey automation window: event, action and schedule.

Which events trigger an automation

Run, when Typical use Works for an anonymous respondent?
The respondent did not complete the questionnaire A reminder to finish the survey No
The respondent filled in the questionnaire A thank you, a promised gift, a label, an alert to a colleague Only the Send alerts action
The respondent chose a specific answer Asking a happy customer for a review, an alert about dissatisfaction, labels based on answers No

Quanda recognizes the respondent when you send the survey with a Quanda email campaign. With a link shared elsewhere, for example on your website, the respondent is anonymous. The answers are not saved to the contact, they stay with the survey.

Which actions the automation takes

  • Add label: the contact gets the selected label, for example NPS detractor, and you follow up with a separate campaign. You manage labels as described in Tags.
  • Send email: the respondent receives an email you prepare and activate in advance in transactional emails. In the automation you pick it in the activated transactional email field.
  • Send alerts: the selected Quanda users receive an alert, also prepared as a transactional email. You pick the users in the users field.

One automation takes one action. If you want to add a label and send a thank you after the survey is completed, create two automations.

How to set up an automation step by step

  1. In the survey detail, go to the Automation page and click Add trigger.
  2. In the Enter an automation name field, type a name you will recognize the automation by.
  3. In the Run, when section, choose the event. For The respondent chose a specific answer, pick the question and the answer.
  4. In the Set action section, choose Add label, Send email or Send alerts and add the label or the transactional email.
  5. In the Schedule section, enter the value and the unit (minute, hour, day) for how long to wait before the action runs.
  6. Click Save. The automation appears in the Trigger setting overview.

This is what a thank you the automation sends right after the survey is completed can look like:

Frequently asked questions

Three events trigger an automation: The respondent did not complete the questionnaire, The respondent filled in the questionnaire and The respondent chose a specific answer. The action can be Add label, Send email to the respondent or Send alerts to a Quanda user.

Only partly. When a respondent Quanda does not know completes the survey, for example from a link on your website, you can only get an alert that the survey was completed. Labels, emails to the respondent, reminders and actions based on answers only work for respondents from a Quanda campaign.

Create an automation with the event The respondent did not complete the questionnaire and the Send email action. In the Schedule section, set how long to wait before the reminder goes out, for example 2 days.

You prepare and activate both the email for the respondent and the alert for your colleagues in Transactional emails. In the automation you then pick it in the activated transactional email field.

No. The answers stay with the survey in Completed Surveys and in the response analysis. You can add a label to the contact based on an answer and follow up on it with another campaign.
