A form automation is a rule that Quanda carries out on its own after a form is submitted. In the Run, when section you choose from two triggers: Form sent (every submission) and Form was submitted with consent (only when the visitor ticked the consent box). One automation takes one action, and there is no limit on their number.

How to set up an automation
- In the form detail, go to the Automation page and click Add trigger.
- Enter an automation name you will recognize it by in the overview.
- In the Run, when section, choose Form sent or Form was submitted with consent.
- In the Set action section, choose an action and add the label, the email or other details.
- In the Schedule section, enter after how many minutes, hours or days the action should run, and save the automation.
Automations can only be edited for a form that is not live. Pause a form that is Ready to use first with Pause the form.
Which actions the automation takes
| Action | What it does | Trigger |
|---|---|---|
| Add label | Adds a label to the contact so you can find contacts from the form | both |
| Remove a label | Removes a label from the contact, for example when moving from interested to registered | both |
| Send email | Sends the contact an email from transactional emails | both |
| Send alerts | Sends you or your colleagues an alert about a submitted form | both |
| Fill in the User field | Writes text into one of the 6 user fields, for example the contact source | both |
| Assign an owner to a contact | Sets which team member the contact belongs to, for example a salesperson | both |
| Set GDPR details | Saves the legal title, purpose of processing and length of processing from 1 day to 20 years | with consent only |
Adding a label
As soon as the form is submitted, the contact is added to your list in Quanda. To be able to find the contact from the form later, add a label to it. Set it up as the first automation, before you place the form on your website. The contact does not get the same label twice.
Sending an email
After the form is submitted, the new contact can receive an email with any message you like, for example a thank you or a promised ebook. First create and activate the email in transactional emails and then pick it in the automation. This is what a confirmation email can look like:
Confirmation email after the form is submitted
Sending an alert
Want to keep track of new contacts? Have an alert about a submitted form sent to you. You create the alert email in transactional emails as well.
Filling in a user field and the contact owner
The Fill in the User field action writes the text you enter into one of the 6 user fields, for example the contact source or the event name. The Assign an owner to a contact action sets which member of your team the contact belongs to, for example the salesperson who will handle the enquiry.
GDPR details
The Set GDPR details action is only available with the Form was submitted with consent trigger. It saves the legal title, the purpose of processing and the length of processing, from 1 day to 20 years, to the contact. You set up email address verification separately on the Double opt in page.
Sending a summary notice to the form manager
If you did not set up sending alerts, you can have a summary notice about new contacts sent to you instead. The form manager receives an overview of new submissions daily, weekly or monthly. The Do not send option switches notices off. For a new form, Weekly is selected by default.
You will find usage examples and a checklist in the article Form automation: how to set it up and make the most of it.

Frequently asked questions
Adding a label. The label lets you find contacts from the form later and send them a campaign. Set it up before you place the form on your website.
Prepare the email in Transactional emails and activate it. Then create an automation with the Form sent trigger and the Send email action and pick the prepared email.
One automation takes one action. There is no limit on the number of automations per form, so for a label, an email and an alert you create three automations.
Missing details are added to the contact and existing ones are not overwritten. The automations run again, so the email goes out again. The contact does not get the same label twice.
Use the Form was submitted with consent trigger and the Set GDPR details action. You choose the legal title, the purpose of processing and the length of processing from 1 day to 20 years.
On the Automation page, in the section for sending a summary notice to the form manager, choose Do not send. For a new form, Weekly is selected by default.
