You sell a car. The customer drives away. And then? Most dealers and service centres honestly do not know what happens to that person next. Only 43.9% of customers come back to buy their next car from the same dealer. Yet the data that would bring the customer back is already sitting in the dealer system: the sale date, the service history, the warranty expiry, the inspection date. All you have to do is let it work.

In a nutshell

  1. The business relationship with a customer begins the moment they drive out of the showroom. Most dealers end it at that very moment.
  2. More than 56% of customers go to a competitor after their first purchase, and 63% of service customers bought their car elsewhere.
  3. The customer did not forget you on purpose. Nobody reminded them that you exist.
  4. The real margin is in repeat service visits, accessories, tyre changes, insurance and financing.
  5. You already have the data on service, warranty, inspection and financing. What is missing is communication that flows from it automatically.
  6. Quanda Hub connects to TEAS (Caris) or SoftApp and sends the right customer the right email at the right time.

In short: what happens after the sale, what data you have, what to send and what is at stake

  • What happens after the sale: the customer gets an invoice and the keys, then silence. Only 43.9% of customers come back to buy their next car from the same dealer.
  • What data you already have: the sale date, model, service history, mileage, warranty expiry, inspection date and the end of insurance and financing sit in the dealer system.
  • What to send: seven automated emails, from a thank-you after the purchase through service and tyre change reminders to a trade-in offer, triggered from the data via Quanda Hub (TEAS/Caris, SoftApp).
  • What is at stake: more than 56% of customers go to a competitor who sent them a reminder at the right time.

The automotive business has one peculiarity compared to other industries: the entire business relationship with the customer begins the moment they sign the contract and drive away. From then on, the system holds the sale date, the vehicle type, the history of service visits, the end of financing and possibly various complaints. And yet most dealers and service centres do not work with this data. As if it did not exist. The customer gets an invoice, the keys, and then silence.

This is not the natural state of things. It is a gap. And your competition is moving in that gap.

What actually happens after the sale

Take a typical month in a showroom or service centre. You sell three cars. You repair forty vehicles. You change tyres for two dozen customers. Each of them left you their contact details, a history and money. And then what? Usually nothing. In practice, everyone waits to see whether the customers get in touch themselves.

Some of them come back. But how many of those who did not come back went to a competitor not because they were unhappy with you, but simply because another service centre sent them a reminder at the right time? Or because a friend recommended a different dealer who got in touch first?

Numbers worth thinking about: Only 43.9% of customers come back to buy a car from the same dealer. That means more than 56% of customers go to a competitor after their first purchase. And 63% of service customers originally bought their car from a different dealer than the one they now use for servicing. That service centre, however, does not systematically use this opportunity to sell a new car.

The customer did not forget you on purpose. Nobody simply contacted them to remind them.

Data lying idle

This is what makes the automotive business unique: almost nowhere else do sellers have such a precise picture of what the customer needs and when. When they last had a service check. How many kilometres they have driven. When their warranty expires. Whether they bought winter tyres. Whether they made a complaint and how it turned out.

The trouble is that this data sits in the system and marketing knows nothing about it. The salesperson has no time for it. And so communication happens either not at all or in bulk. Everyone gets the same email about the current promotion, regardless of whether the customer drives a three-year-old diesel or has just taken delivery of a new electric car.

The result? The customer does not read the email because it is not meant for them. Next time they will not read it either. And eventually they unsubscribe or start ignoring the messages.

Yet if they received an email at a moment that made sense for them, say a month before their service check is statistically due, the chance that they react is many times higher.

Because it is not advertising. It is a reminder they were waiting for, they just did not know it.

Tip: The simplest automation you can manage even without connecting a dealer system is a birthday or name day greeting. All you need is a date of birth on the contact and Quanda sends the greeting itself every year. The procedure is in the guide How to create and set up a birthday and name day email campaign.

Where the money is lost

Revenue from new car sales matters. But do you know where the real margin lies for most dealers and service centres? In repeat service visits, in accessories sales, in tyre changes, in insurance and financing, in recommendations from satisfied customers. All of this depends on one thing: whether the customer comes back.

And the customer comes back if they remember you. If they were in contact with you. If, at the moment they started thinking about changing tyres or replacing the car, you naturally came to mind, because in recent months you had written them something useful at least twice.

Do a quick estimate: how many of last year's customers have not shown up at your service centre this year? Where are they? Who are they with? And who has been writing to them?

Why it does not get done

It is not laziness. Dealers and service managers are busy people. The problem is different: they do not know how to approach it so that it makes sense and does not take hours of work every week.

Communicating manually with hundreds or thousands of customers is impossible. Sending mass emails without context does not work that well. And so either nothing is done or the job is handed to a marketing agency that does not know the specifics of your business and segments customers at most by whether they bought or not.

The right approach looks different. Communication that flows directly from the data in your system.

Automatically, at the right time, for the right customer. Without the salesperson or service manager having to think about it every month.

What would change

Imagine that after buying a car the customer receives a thank-you, and some time later a personalized accessories offer exactly for their model. Or that at the right moment they are reminded of the first service check or a tyre change, based on how they actually use the car. Or that the customer gets congratulations on the anniversary of the purchase together with a relevant service or extended warranty offer.

Or that they are reminded in good time that the technical inspection, insurance or financing is about to end, along with a simple solution. Or that at the moment when people typically decide to replace their car, they receive a personalized trade-in offer or an upgrade to a new model.

Seven emails that make sense for every showroom and service centre:

  • A thank-you after the car purchase, with the contact details of a specific salesperson.
  • An accessories offer exactly for the model the customer bought.
  • A reminder of the first service check based on the sale date and mileage.
  • A seasonal tyre change reminder, with a proposed date for customers whose tyres you store.
  • Congratulations on the anniversary of the purchase with a service or extended warranty offer.
  • A heads-up before the technical inspection, insurance, warranty or financing ends.
  • A trade-in and upgrade offer at the moment customers typically decide to replace their car.

None of these things is complicated. None of them requires the salesperson to think about it personally. But each of them tells the customer the same thing: someone cares about me. I am not just a number in a database.

And that is exactly the feeling that decides who the customer calls first.

Why Quanda

Quanda Hub is the tool that makes this possible by connecting directly to your system. Whether you use TEAS (Caris) or SoftApp, Quanda Hub reads this data in real time and uses it to trigger precisely targeted communication with customers. Automatically, with no manual work, with content that makes sense for every customer.

This is not about mass mailings. It is about communication that responds to what is really happening in your system. A sold car, an inspection date, the warranty status, the progress of a complaint. Each of these events can trigger a precise message at the right time.

Tip: Which details from the dealer system can be inserted into an email (car model, registration plate, next inspection date, service advisor's name) is described in the guide Personalization tags for the Caris DMS and Quanda Hub integration. More examples of communication for showrooms and service centres are on the page Car sales and service.
